Getting the Board on the Same Calendar (Without Herding Cats)

I showed up as the volunteer treasurer and got handed two boxes of paper files. Somewhere between the invoices and the binder labeled “mystery,” I learned the hardest part of HOA life isn’t the math. It’s getting seven people — retired, traveling, working, coaching soccer, and the one who replies to emails at 2 a.m. — to agree on a meeting time.

Email chains breed versions of reality. Reply-all threads spawn attachments nobody opens. A dozen calendar invites go out and half the board thinks the meeting is next Tuesday. I built Blocbear because the next volunteer deserved a system that treats scheduling like a chore I already did so I could go back to my hammock.

Why calendars break

Different life stages, different calendars. Retirees have daytime flexibility. Vacationing members ignore anything while their OOO is on. Parents juggle practices. And some people only check email after midnight. That mix makes finding one slot that works feel like matchmaking for calendars — except I'm not paid to be an app for feelings, I just want everyone in the same Zoom or conference room.

What I built: Board Room chat + Meetings & Polls

I added a Board Room chat that lives alongside Meetings & Polls so the board can talk dates in one quiet place and lock a time without ten follow-ups. It’s a simple flow: suggest dates in chat, launch a poll from the same page, let people click once in their email to vote, and the winning date lands on the shared calendar. No more five-email threads, no more accidental double-books, no more me refreshing my inbox like it’s a morning weather report.

• Meetings & Polls integration: spin a poll from the chat and email one-click votes to members.
• Shared calendar: the poll winner automatically becomes the meeting date on the calendar so everyone actually sees it.
• Reminders: automated email nudges so vacation-mode and midnight-email folks get the same prompts as everyone else.

Everything stays simple and traceable. The chat thread lives with the meeting record; the poll result is the meeting date; and the calendar shows the outcome. If five members are coaching and one is retired, the one-click vote handles it without me playing traffic controller.

How it looks in practice

I suggested three dates in the Board Room chat. Carla (soccer parent) voted from the email while at practice. Marcus (vacation) opened his phone at the beach and clicked. The retired member replied with a quick thumbs-up in chat. The poll closed, the winning date dropped onto the shared calendar, and the reminders went out 14 days, 7 days, and the morning of — all without me sending a single follow-up email at 11 p.m.

Scheduling should be the boring part we automate. The interesting part is the meeting agenda — not threading twelve emails.

Quick setup (for the next volunteer)

• Open Meetings & Polls and create a tentative meeting.
• Start a Board Room chat tied to that meeting — suggest a few dates.
• Launch the poll from the meeting page so votes come in via one-click email.
• Let the system place the winning date on the shared calendar and send scheduled reminders.

Nobody likes scheduling. I made the part you hate take ten seconds. That way you spend your energy on the agenda, the neighborhood, and whatever porch plant you keep meaning to water. I’ll keep handling the boring stuff — you just show up to the meeting.
