Spring board prep: State filings without the last-minute scramble

A quick checklist for self-managed HOAs heading into the busy season — what to gather, when it is due, and how Blocbear helps you stay on top of filing deadlines.

Every spring, the same thing happens in self-managed HOAs across the country. A volunteer treasurer opens an official-looking envelope, sees the word "delinquent" or "penalty," and spends their entire Tuesday evening on hold with the state trying to figure out what form they missed in February.

It doesn't have to be that way. Here is the exact prep list I use every spring for our 46-home neighborhood to keep us compliant and calm before tax day:

    • Check your Registered Agent: Is the state still mailing official corporate documents to a board member who moved away three years ago? Update this first so you actually receive your notices.
    • Clean up the ledger: Pull last year's bank statements and reconcile them before you even look at a tax form.
    • Update the resident list: You can't send your required annual meeting notices or budget disclosures if half your mailing list is out of date.

    How Blocbear helps

You shouldn't have to rely on sticky notes to avoid state penalties. Open the Compliance hub in your dashboard — you'll see a countdown for federal tax deadlines and, where we support your state, annual reports like Maryland SDAT. Blocbear emails your board a friendly nudge two weeks out, a firmer reminder a week out, and a "today is the day" note the morning a filing is due. No surprises, no lost envelopes.

Want the full, detailed checklist as a PDF? Just reply to any onboarding email and I'll send it right over.
